The Board of Commissioners of Skagit County Fire District 4 are looking to hire a District Secretary.

MINIMUM QUALIFICATIONS:

1. Must have a solid understanding of accounting principles.

2. Must have the ability to work independently.

3. Must be familiar with standard office equipment including personal computers, word processing, MS Excel and accounting software (Quickbooks).

4. Must possess a valid Washington State Drivers License.

5. Must be available to attend monthly Fire Board Meetings and Special meetings when indicated.

DESIRED QUALIFICATIONS:

1. General knowledge of Washington State laws and statutes.

2. Working knowledge of the BARS accounting system.

JOB DESCRIPTION: This position is responsible for performing routine clerical and administrative duties such as drafting correspondence, organizing and maintaining files, maintaining accounts payable and accounts receivable.

Responsibilities to include but not limited to:

1. Prepare Monthly Fire Board meeting agendas and minutes along with notices when necessary.

2. Process incoming invoices for accounts payable including coding invoices with appropriate BARS account code; print checks; distribute checks to vendors; process monthly payroll including all reporting (i.e. monthly tax reports, quarterly tax reports, W-2s, etc.).

3. Perform banking functions (i.e. deposits, reconciling check book, etc.).

4. Prepare, record and maintain resolutions as directed by the Board;

5. Maintain district budget and prepare monthly reports for the Board.

6. Prepare and submit information to Board for Volunteer Firefighters “ Report new firefighters, report firefighter termination, report all volunteer accidents, submit vouchers for injuries and complete participation certificate reports.

7. Prepare and transmit District annual report to the State Auditor.

8. Serve as investment officer for the District, transferring monies as necessary between County held funds.

9. Responsible for the storage of District records, in accordance with Washington States Records Management standards.

10. Public Records Requests “ Provide documents as requested.

11. Understand and comply with all ethics laws and rules.

12. Other duties as assigned by Fire Board of Commissioners and/or Fire Chief.

This is a part time position, approximately 30 to 40 hours a month. No phone calls please. Reply to post for an application or to submit your resume. Applications will be taken until June 20th.
