Medical Administrative Assistant at Integrative Practice (Maple Leaf)

Small integrative naturopathic and acupuncture practice (In Tune Healing Arts) is looking for a part-time medical assistant. Dr. Kaltunas and Dr. Gochberg are naturopathic physicians and Dr. Kaltunas is also a licensed acupuncturist. They treat a wide range of acute and chronic diseases, specializing in treating mental health conditions such as anxiety, depression and bipolar disorder.

This position is a mixture of medical assistant duties (25% of the time) with administrative assistant/front desk tasks (75% of the time). It includes a mix of interactions with the physicians, patients, and supplement/lab company representatives along with periods of time working alone. The best fit for this job is someone who self-directed, compassionate, proactive and organized. This person should be have strong problem solving skills and be able to take full ownership of the job with minimal supervision. An ideal candidate would have previous experience working in medical reception, particularly with an integrative focus, in addition to some knowledge of medical billing. We are especially looking for someone who is able to multi-task by balancing job duties and patient needs during the many interruptions that can occur from patients and phone calls throughout the day, while maintaining a calm and positive demeanor.

Job Duties:

- Friendly presence in the office. This includes welcoming patients, and maintaining a positive atmosphere/experience for anyone entering the door.

- Checking patients in and out.

- Scheduling patient appointments.

- Answering the phone and responding to patient questions/concerns to the best of your ability.

- Checking and responding to business email/voicemails.

- Communicating with patients, lab and supplement companies. Ability to maintain a calm demeanor with potentially challenging patients.

- Proactively managing and coordinating documents that come into the office (such as records requests, referrals, prior authorization requests).

- Knowledge of sharing files over Google Drive.

- Using an EMR to manage medical records and to communicate and keep track of patient information.

- Processing payments/copays/supplement sales.

- Knowledge and proficiency in the use of Quickbooks.

- Proactively managing accounts receivable and overdue statements by calling patients to collect payments and to help set up payment plans for overdue payments. Must be comfortable discussing money matters with patients in a calm and patient way.

- Strong knowledge of HIPAA laws and be able to maintain strict confidentiality.

- Knowledge of medical insurance systems and terminology in order to effectively communicate with patients regarding eligibility, copays and deductibles.

- Communicating with insurance companies regarding verifications and authorizations.

- Calling in medical and supplement prescriptions orders and refills to pharmacies.

- Managing supplement and medical supply inventory, as well as individual patient drop ship supplement orders.

- Review and keep current patient’s medication and supplement list, allergies, past medical history, and family history.

- Assist physicians when needed with patient care such as taking vital signs.

- Perform phlebotomy, injections and process lab orders.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

- Certified Medical Assistant

The clinic is located in the Maple Leaf neighborhood of Seattle.

Typical hours are 9-3:30pm Monday through Thursday (24 hours a week), however, during the COVID-19 pandemic, there will be some flexibility based on current patient load. As the patient load increases, there will be opportunity to increase hours.
