POSITION TITLE: FINANCIAL ASSISTANT

MISSION: To disrupt the cycle of homelessness and promote sustained independence for current and future generations.

SUPPORTED BY: Financial Manager

SALARY RANGE: $15.00-$21.00 per hour

Non-exempt position, 0.375-.5 FTE (15-20 hours/week)

Candidate offers consider experience, qualifications, and internal equity.

Entry salary typically in the first third of the range.

BENEFITS PACKAGE: 22 days of paid time off (PTO) per year (prorated for Regular PT employees based on FTE rate); 8 paid holidays; agency sponsored healthcare plan (for Regular employees working 30 or more hours per week); 3% employer contribution to 403(b) Retirement Plan after 1 year of employment; supportive work culture; family friendly and flexible scheduling.

POSITION SUMMARY: The Financial Assistant provides support in bookkeeping, data entry, and other duties to the Financial Manager in the processing and management of all authorized disbursements, receipts, Wise Buys Thrift Store revenue, payroll, financial records, financial reporting, financial statement review preparations, providing clerical/support services and donor tracking.

MINIMUM QUALIFICATIONS:

A minimum of two years of experience or education directly applicable to the duties of this position

Demonstrated experience, knowledge and proficiency in QuickBooks and Excel

High attention to detail

Must pass DSHS, Washington State Patrol Criminal Background check and Federal background check

Ability to be punctual, dependable, and meet deadlines

Excellent written communication and organizational skills

Ability to work independently, adapt easily to change, and handle stressful situations effectively and regularly

Valid drivers license, access to a vehicle, and proof of insurance required

ESSENTIAL DUTIES AND FUNCTIONS:

Financial Responsibilities:

Perform accounting functions and carry out fiscal operations, according to a fund-based, accrual accounting system to conform to Generally Accepted Accounting Principles (GAAP)

Assist in processing invoices for payment, including coding, date entry, verification of authorization to pay, copying and filing

Assist in processing credit card charges, including coding, date entry, verification of authorization to pay, copying and filing

Assist in managing all revenue, expense, and record keeping for Wise Buys Thrift Store

Assist in maintaining records and managing fundraising revenue

Assist in maintaining donor tracking

Assist in billing and monitoring existing contracts and grants

Assist in processing rent income payments and maintaining rental records

Assist in preparing records for the completion of the annual financial statement review and the IRS Form 990

Assist in the preparation of the annual budget and any other subset of agency budgets

Assist in coordinating the compilation of statistics and reports as required by the Executive Director

Assist in generating reports for the Board of Directors and Finance Committee

Assist in overseeing the appropriate and secure storage of all financial records

Administrative/Coordination/Other:

Keep all files and systems in appropriate and organized order and in a manner that other management staff can retrieve data or files as needed.

Adhere to current and future standards and statements of work pertaining to this position as

required by current and future agency contracts.

Maintain client confidentiality at all times, except when compelled to share information by law or

when the client has signed a release of information

Manage agency records and financial archives for required period of time

Assist in maintaining employee files

Assist in managing agency sponsored retirement plan

Record donations in agency database

Other duties as assigned
