YesJob SummaryProvides highly skilled and varied administrative support to the Environmental Health & Safety Office. Responsible for daily office management, correspondence, personnel matters, complex level decisions, exercising discretion, initiative and independent judgment.Essential Duties and ResponsibilitiesESSENTIAL DUTIES AND RESPONSIBILITIES -

Assist the EH&S Director and management staff with a wide variety of internal administrative duties and decisions to ensure internal processes and department programs are accomplished. The administrative duties require a thorough understanding of the functions, programs, and policies of the University and department. The administrative duties require professionalism and the ability to use good judgment and discretion. Responsible for confidential and time sensitive material. Provide information, answer inquiries, and support daily operation of the department to ensure business continuity. Maintain department calendars including department events, student worker schedules, and the EH&S on-call schedule. Coordinate, participate, and/or assist with department meetings, events, and training to include maintaining meeting documentation and minutes when applicable. Maintain the department Communication Plan. General clerical duties, including answering and directing phone calls/radio transmissions and maintain daily phone/radio communication log. Provide general support to visitors/customers. Provide general administrative direction and/or supervision of student workers. Serve as department timekeeper, enter and maintain weekly department staff time and provide weekly staff accumulative time spreadsheet of earned vacation, sick, and compensatory time to EH&S management for review.

Support the Fire and Life Safety Program by maintaining compliance documentation regarding testing, inspection of life safety systems and required fire drills and training. Dispatch EH&S staff as necessary and appropriate to respond to permit requests and campus emergencies. Maintain online campus building evacuation maps. Monitor the University work order system and provide list to EH&S management. Enter task and work orders identified on building inspection reports. Maintain fire and life safety building documentation/information files. Maintain fire alarm data. Support the Laboratory and Environmental Program by maintaining the EH&S staff training documentation and assisting with maintenance of the Site-Specific Hazard Communication training data.

Serve as administrative liaison with other departments on campus and outside organizations and agencies concerning administrative policies, procedures, and practices. Manage the following EH&S departmental systems and programs: key control management, fleet vehicle maintenance, space use management reporting, record management, capital asset inventory control and other stored department inventory.

Assist with the University’s Driver Program, including communication with drivers and supervisors, maintaining the authorized driver list, and the driver training and MVR database.

Prepare vouchers for payment or reimbursement and process employee travel requests. Maintain and reconcile ProCard per procurement policy. Assist with processing department purchase orders, transfer of funds, statement of account reconciliation, and other departmental expenditures as needed.

Process documentation and paperwork for classified employee positions by posting, screening applications and communicating with candidates. Maintain personnel records including staff recruitment forms. Process employee background check requests, employee clearance paperwork, and employee appointments.

Serve as backup to the department Workers’ Compensation Program in the absence of the WCI Claims Analysts. Facilitates the quarterly Workers’ Compensation Program customer service survey.

Support other EH&S department projects as assigned.

Required QualificationsBachelor’s degree with two (2) years upper level secretarial experience or high school with six (6) years of increasingly responsible administrative, secretarial and clerical experience or equivalent experience.KNOWLEDGE, SKILLS AND ABILITIES:

Able to work in a busy office while maintaining a courteous and professional manner.Preferred QualificationsFive (5) years of increasingly responsible administrative, secretarial and clerical experience with supervisory experience.
