Job Description

The Billing Data Entry Representative is responsible for the timely processing of adjustments to clear customer invoices and deductions and the related archiving of the related documents. The Billing Data Entry Representative is also responsible for a level of backup for the Billing function.

Essential Duties & Responsibilities

1. Enter relevant data in the IBM system to release invoices.

2. Enter approved credit and debit requests into the IBM system related to deductions.

3. Enter approved Cancel/Rebill Requests, Full Cancel Requests and Miscellaneous Invoices related to the Billing function into the IBM system.

4. Use the IBM system to obtain Accounts Receivable and shipment information as part of the credit entry or deduction research process.

5. Perform daily scanning of Billing documents, deduction packets, approvals and support documentation into Document Direct system.

6. Index and file shipping documents using SimpleIndex and/or other document management application for audit and research purposes.

7. Backup the Billing function as needed when Billing Representatives are out of the office for scheduled or unscheduled times.

8. Other duties as requested by management.

Qualifications

Education: High School Graduate, College Course Work or Degree Preferred

Related Experience: 1 year deduction resolution or collections experience, sales/customer service/logistics experience is desired.

Equipment/Software Skills: Data Entry accuracy and speed. Strong PC skills – Microsoft Office Suite (Word, Excel and Outlook primarily). Must be able to quickly learn new system applications. Experience working with databases and exporting to Excel is preferred.

  3. Excellent time management skills to ensure proper focus on repetitive key punch tasks in a timely manner
  4. Strong interpersonal skills to work with both external and internal customers.
  5. Ability to prioritize responsibility, balance workload and maintain attention to quality while processing volume.

Additional Information

Physical: This position has limited physical activity requirements – primarily sitting, and walking to the copy room and throughout the building to interact with other departments. Lifting would only require filing documents and possibly boxing items to send to storage. It does require keying data repetitively for extending periods of time.

Sensory:This position requires the use primarily of visual, hearing, and speaking senses. Visual activities include the ability to read computer generated reports and customer documentation, and to utilize a computer system. Hearing and speaking is required to work with other department colleagues as well as with parent company colleagues to research issues and learn job functions.

Mental/Reasoning: This position requires a certain amount of learning, reasoning and analyzing. Mental reasoning is required to analyze customer deduction data and match that with Stratas support to ensure transactions are properly entered in the IBM system and contract database. Also the representative must be able to learn the types of departmental documents that must be scanned and to be able to identify them easily to ensure proper handling.
