JOB SUMMARY:In this role you will be responsible for scheduling, invoice reconciliation, entering requisitions into eProcurement along with the daily office operations. Work ranges from standardized office support assignments to performance of administrative duties involving decision-making and judgment. Public contact is a major component of the position, both internal and external to the organization. Work requires contact with senior management, staff, managers of other units within the organization, representatives from vendors, and the public. This is a fast-paced environment for a motivated individual.Skills and Attributes

Key Functions and Expected Performances

Provides advanced Excel, PowerPoint and Outlook support; creating or manipulation of data to create and present a finished, professional product

Verify invoices from vendors with bids and purchase orders and approve bills for payment. Work with vendor and Disbursements to clean up discrepancies

Prepare in advance materials for upcoming meetings, participate in meeting with vendors and business owners while taking meeting minutes

Research, analyzes, and evaluate data from multiple sources to manage invoice discrepancies and PO encumbrances

Interact with IT staff, vendors, local support providers, LAN managers, department purchasing agents, and people who hold similar positions at VUMC

Coordinate timelines for RFX’s and keep project on track thus requiring good judgment in establishing schedule priorities and insuring accuracy of document details

Types from draft or notes or independently composes correspondence for signature following and applying document standards to all correspondence and documents

Manage daily operation of department

Screens all calls taking accurate messages and communicating or routing needs of the caller in a timely manner

Independently manages an electronic filing system possibly involved in the design and implementation of automated systems Maintain PEER (Internal contract system) & Box,

Create and analyze monthly reports/queries for renewals and ensure financial information has been recorded accurately

Maintaining current knowledge of technology

Ensure financial resources are utilized effectively

Perform ad hoc reporting

Prepares necessary documentation for check requests

Enter requisitions for IT equipment and services and complete corresponding paperwork

Manage the administrative and business details of the officeMonitors a large volume of documents, forms and requests for review and signature some of which may be confidential and sensitive Bachelor's Degree (or equivalent experience) and 5 years experiencePhysical Requirements/Strengths needed & Physical Demands:Movement

Occasional: Vision: Clarity of near vision at 20 inches or less and far vision at 20 feet or more with depth perception, peripheral vision, color vision.

Frequent: Noise: May include exposure to occupational noise levels which equal or exceed an 8-hr time-weighted average of 85 decibels, requiring enrollment in VUMC's Hearing Conservation Program which includes training, use of hearing protection, and periodic audiometry.

Continuous: Communication: Expressing or exchanging written/verbal/electronic information.
