Description:

A dynamic position that is never quite the same from day-to-day, the Organizational Administrative Assistant fills several important roles in keeping the organization on-task and functionally efficient on a day-to-day basis by supporting other members of the organization as well as handling the various administrative duties that help the organization tick.

Some chief responsibilities include providing stellar customer service (though, in truth, we aim for customer astonishment rather than just customer service), receiving incoming calls and either taking a message or routing them to the most appropriate person, taking & placing over-the-phone orders, receiving in & processing orders from various eCommerce channels, entering invoices into our accounting system, tracking and placing purchase orders, scheduling calls and meetings & keeping notes on meetings, and supporting our quality control department.

You might like the big picture, but you thrive existing among the finer details- you might appreciate the forest, but you’d prefer the trees. You are comfortable repeatedly switching from task to task and making sure that nothing falls through the cracks in the process. Filling out and working with spreadsheets is second-nature to you, and the process of working with and organizing paperwork is no big deal to you at all.

Oh, and having a creative mind and a bit of a twisted sense of humor certainly helps, as this is definitely not for the easily offended.

Duties & Responsibilities:

Answer & direct phone calls

Provide excellent customer support and place over-the-phone orders

Receive and process orders from various eCommerce channels

Organize & schedule appointments

Take detailed notes during meetings

Write and distribute emails & correspondences as needed

Assist in the preparation of various forms and reports

Maintain a well-organized filing system

Aid in the processing of invoices into an accounting system

Assist in the creation and tracking of purchase orders

Assist the quality control department in creating and maintaining appropriate documentation

Requirements:

Exceptional computer skills - Please don’t be a stranger to Microsoft Office/Google Docs or unable to adapt to new software & tech apps & platforms, as we are always innovating, updating, and adapting our systems and the tools we use to become more effective and efficient.

Excellent communication skills - The ability to communicate clearly, cleanly, and accurately is paramount, so please be able to speak and write well. We want you to say what you mean and mean what you say each and every time.

Incredible attention to detail - Our organization moves quickly, often with many moving & shifting parts, so we need your help to make sure that all of the “I’s” are dotted and the “T’s” are crossed, so to speak. Keeping track of meetings, accounts, and various files & folders would be no problem at all for you - you could do it in your sleep if you had to.

Super organization skills - In your world, everything has its own place & you know exactly where that place is at all times. You know that things like “disorganization” and “chaos” exist, but not when you are involved.

Familiarity & comfort with spreadsheets and numbers - So important that we are stating it again. A good deal of your day-to-day experience will involve working with spreadsheets & numbers, so a lack of familiarity and comfort in these areas will stick out like a sore thumb immediately.

An adaptable, entrepreneurial mindset - We are rapidly growing & continually evolving, so we need you to be quick on your feet, creative, and ready & willing to see (and seek out) areas where we can improve, suggest improvements, and help implement them. We need you to be proactive rather than reactive & for you to know, understand, and welcome the difference. Individuals who are always waiting for direction or unwilling to act without direction will not thrive in our organization.

MAJOR Bonus Points:

A background in and/or mindset for marketing - You are the kind of person that can take a few days to learn about a company and a product and then intuitively understand the “why” that exists that would have people go out of their way to bring the product into their lives regularly.
