Administrative Assistant to Executive Director

Job Type: TEMPORARY / 28 hours per week, M-W, onsite

The Administrative Assistant will provide support primarily for the Executive Director (ED) of a busy nonprofit juggling multiple projects. The Administrative Assistant may also provide support, as needed, to the team. Will provide assistance on annual budgeting, program planning and budget tracking to ensure team adheres to budget parameters.

Gather information on an ongoing basis for team’s Master Calendar, update on an ongoing basis and make available to team on an ongoing basis as updated.

Maintain calendar of due dates for submission of grant requests and ensure deadlines are met. Research potential new sources for funding.

Work with ED to prepare twice annual board book, including, gathering content, assembly and reproduction of materials, for board meetings.

Assist on video production and shoots.

Provide support for invoice processing, maintenance of vendor files and requests from vendors/contractors for 1099 tax forms. Follow up, as needed, with any payment processing issues.

Coordinates special mailings, which may include holiday mailings, mailings to the House/Senate or state legislators and other lists.

Ensure smooth running of office, including maintaining and ordering office supplies.

Skills required: Five years of experience working as an Administrative Assistant. Advanced skills in MailChimp, Excel, Microsoft Word and PowerPoint. Familiarity with content management systems. Bookkeeping and budgeting experience. Typing of 60 wpm. Ability to work through problems, anticipate needs and work with team.

About the Organization: PFIR is a 501(c)3 nonprofit that educates the public on the unintended consequences of mass migration, and supports policies that protect worker rights. Key projects include U.S. Tech Workers, Doctors without Jobs, the Center for Progressive Urban Politics and GEBB.

The organization has four full-time employees, including the Executive Director, and works with a variety of freelancers, vendors and activists.
