Construction Project Coordinator

This position requires the candidate to juggle competing demands, meet deadlines, coordinate with cross functional teams (clients, subcontractors, vendors, and labor), and manage contracts. This position operates with a flexible schedule, full-time and part-time are both available.

Essential Duties & Responsibilities:

Assist Construction Manager with initial project setup.

Create and maintain project files.

Assist with the ordering and tracking of permits & inspections.

Prepare and issue subcontracts and insurance requirements.

Generate, input and track subcontracts, purchase orders, work orders, service agreements, and rental agreements in Viewpoint.

Review and track insurance on a weekly basis to maintain updated information.

Assist with ordering material, equipment, and labor for jobs.

Assist Accounting in obtaining all paperwork from subcontractors and vendors so that payments can be processed and released promptly.

Oversee & process day-to-day administrative items, such as mail, overnight mail, packages, expense reports, checks, etc.

Provide general office maintenance and cleaning, as necessary.

Support the project staff and complete special projects as needed.

Assist with preparation of project meeting minutes, punch list tracking, close-out manuals, etc.

Qualifications:

Two or more years' experience in general office responsibilities and procedures, preferred experience with a contractor, architecture firm, or similar. Experience with document control and contracts preferred. Excellent communication skills across diverse populations required. Self-starter with high degree of personal accountability and ability to multi-task required. Working knowledge of Microsoft Word, Excel and Outlook. Must be able to work independently and as part of a team. Ability to learn and adapt to new software.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit and use hands. The employee is frequently required to stand and walk. The employee is occasionally required to climb or balance and stoop, kneel or crouch. The employee must frequently lift and/or move up to 25 pounds.

Work Environment:

The initial assignment for this position is in Salem, Oregon. It is a jobsite environment, and you will be working in a jobsite construction trailer. While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually moderate. PPE is required.
