The City of Medford has an exciting opportunity for part-time Administrative Support Technician!

The Administrative Support Technician performs a wide variety of administrative support activities in the Facilities Management division of the Parks, Recreation and Facilities Management department.

The anticipated hiring range for this position is $19.35 (first step) to $20.32 or $21.33 (second or third step). Directly related experience and qualifications will be evaluated alongside others who perform work of comparable character as required by Pay Equity Law. Six steps are included in this salary range, allowing opportunity for annual movement through the steps.

Have experience with contracting, materials purchasing, prevailing wage and bonding.

Typical Job Duties:

Responds to requests for information from the general public, internal departments, and employees, including: calls, correspondences, customer service interaction, distributing mail, etc.

Performs administrative duties, processing mail, filing, processes training requests, travel expenses, etc.

Uses office equipment, computers, software and programs effectively and efficiently.

Produces and distributes documents, extracts and compiles data for reports, processes records.

Uses prescribed procedures to process, distribute, record and destroy sensitive information and records; maintains and coordinates records retention activities.

Oversees financial and budget of various financial responsibilities, including: payroll and accounting, purchasing, accounts payable/receivable, purchasing card processing. Codes and processes invoices, purchase orders, etc.

Enters payroll information for employees or department.

Acts as the technology liaison, including database management.

Dispatches work orders and coordinates work crews, including scheduling emergency services.

Prepares and schedules meetings with staff and Commissions/Committees, prepares and distributes agendas, attends meetings, takes and distributes minutes, etc.

Supports/assists Director or other staff with: special events, projects, requests for proposals, capital improvements, comprehensive spreadsheets, public outreach, etc.

Creates, processes and tracks contracts. Acts as liaison with contractors to assist with City, State and/or Federal processes.

Human resources liaison for personnel requisitions, hiring and promotional processes, maintains employee records, etc.

Reviews and works with confidential documentation.

Trains staff: software upgrades, database changes, mobile software changes, etc.

May be responsible for other administrative staff: assisting with work load, directing tasks, training, etc.

Upholds the core values of the organization and has strong customer service skills.

Must have the ability to handle job stress and interact effectively with others in the workplace.

Must be honest and truthful in all tasks and responsibilities.

Performs other related projects and duties as assigned.

Demonstrates regular, reliable and punctual attendance.

Job Qualifications:

Graduation from high school or GED.

Must be 18 years of age.

Four (4) years of progressively responsible experience in the principles, policies and practices of office administration; or

Graduation from an accredited college or university with a bachelor’s degree in business management, business administration, public administration or other related degree; and/or equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

Current technical and professional knowledge of complex principles, methods, standards and techniques associated with the administrative profession, including, without limitation:

Effective and efficient use of computer and other office equipment.

Excellent written, verbal and interpersonal communication skills.

Basic filing and recordkeeping, mathematical concepts, spelling and grammar, inventory maintenance, and customer services principles.

Ability to train in individual and group settings.

Ability to effectively use computer software, specifically in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, etc.

Requires possession of a valid driver’s license by date of hire. New employees establishing resident status in the State of Oregon must obtain an Oregon driver’s license within 30 days (ORS 807.020 (1)).

Must maintain acceptable driving record.

Requires completion of a background investigation to the satisfaction of the City.
