The Service Coordinator reports to the Service Manager and is responsible for the effective performance of clerical and operational functions within the service department.
Job Responsibilities:
Collection and entry of technician timecards and service reports into our system
o Report entry requires careful reading and summarization skills
Review and approval of technician expenses through our online expense reporting system, posting those expenses to workorders as appropriate
Prepare workorders for final review and approval by the Service Manager prior to closure
Assist with workorder opening and closing as directed by the Service Manager
Processing and GL coding of Service Department invoices
Maintain constant awareness of open workorders and work in process; evaluate workorders daily for next steps and potential closure
Contact customers for purchase orders as necessary
Serve as a back-up for service calls if Service Manager is unavailable, providing excellent customer service to both internal and external customers
Assist in preparing estimates, quotations, progress billings, and other reports as requested
Bi-weekly preparation of Payroll Reporting of technician’s hours; review of Payroll Summary Reports once prepared by Payroll Department
Registering and tracking technician training (online and in-person)
Coordinating technician tool inventories and replacements as necessary
Ordering shop supplies
Serving as the main point of contact with several Service Department vendors, including but not limited to uniforms, GPS/ELD services, lubricants/diesel providers, shop supplies, etc.
Tracking warranty claims as they progress through manufacturer systems; maintaining clean and organized warranty parts storage
Maintains all department files and ensures material is properly filed
Interact effectively and professionally with all employees, customers, and suppliers
Other responsibilities may be assigned as necessary
Knowledge/Skills:
Strong focus on customer service and doing “Whatever It Takes” to get the job done
Exceptional attention to detail and ability to produce accurate work product
Strong time management skills and proven ability to work within deadlines
Basic knowledge of heavy construction equipment is required; familiarity preferred
Demonstrated ability to work independently and maintain focus on assigned tasks
Strong technical/mechanical aptitude and experience
Exceptional computer skills and Microsoft Office proficiency required
Previous experience with Linux-based ERP systems is preferred
Physical/Time Requirements:
Able to do occasional lifting of up to 30 lbs.
Able to work a flexible schedule, including some evenings and weekends
Education/Experience:
High school diploma or GED required
Previous experience with service writing is preferred
Previous experience with warranty claims submission and tracking is preferred
