OFFICER MANAGER
Position Brief
SAGA Realty and Construction, an innovative and growing construction and realty firm is currently seeking an Officer Manager to organize and coordinate office administration and procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Ideal candidate should be an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.
Responsibilities
Professionally greet all visitors, provide needed support and make them feel welcome
Point person for building maintenance requests, weekly grocery order, mailing, shipping, ordering office supplies and general errands
Organize and schedule meetings and appointments to ensure maximum efficiency
Work with HR to develop, implement, and maintain office policies as necessary
Organize office operations and procedures
Coordinate with different departments on all office equipment and needs.
Responsible for recruiting staff for the office and providing orientation and training on general office layout and procedures to new employees
Participate actively in the planning and execution of company events, in-house or off-site activities, monthly parties, luncheons, celebrations and conferences
Creation of monthly employee newsletter
Organizing the office layout and structure
Responsible for developing standards and promoting activities that enhance a positive and fun work environment
Provide support to sales and marketing department by looking up details pertaining to MLS, closings, etc.
Manage internal staff relations
Skills
Proven office management, administrative or assistant experience
Knowledge of office management responsibilities, systems and procedures
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office
Knowledge of accounting, data and administrative management practices and procedures
Knowledge of clerical practices and procedures
Knowledge of human resources management practices and procedures
Knowledge of business and management principles
Computer skills and knowledge of office software packages
A creative mind with an ability to suggest improvements
A team player with positive attitude and the ability to have fun at work!
Education and Experience
4-5 years proven experience as an Office manager, Front office manager or Administrative assistant
High school or equivalent degree
Real estate license and knowledge would be preferred
