The Community Foundation for Greater Buffalo is seeking to hire a Community Impact Administrative Assistant.

POSITION SUMMARY

The Community Impact Administrative Assistant is a member of the Community Impact Team and is supervised by the Chief Community Impact Officer (CCIO).

As an administrative professional, she/he will provide essential administrative support to the CCIO and the Community Impact team. The position will provide administrative support by handling information requests, preparing correspondence, presentations, scheduling conference calls and meetings. As an energetic forward-thinking team member, he/she will be expected to actively seek opportunities and propose solutions to improve administrative efficiencies. The position also plays a critical role in monitoring and tracking deadlines and deliverables for the Community Impact Team Function and the Community Impact Committee.

A successful Community Impact Administrative Assistant is highly organized, excellent at follow through, very detail-oriented and possesses a high level of computer competency. She/he will be expected to work effectively and collaboratively in a focused, highly responsive and mission-driven organization. At all times the Community Impact Administrative Assistant must maintain exceptional standards of ethics and confidentiality.

KEY RESPONSIBILITIES

Perform a variety of administrative tasks and support the CCIO, the two Community Impact VPs and the Community Impact team

Provide administrative coordination and support for specialized initiatives/teams, including but not limited to Lead, Green and Healthy Homes Initiative (GHHI), environmental initiatives, Communities of Giving Legacy Initiative (CGLI) and Fund for the Arts; provide event support

Coordinate calendars for meetings and events

Assist with travel arrangements, registration for conferences/trainings, expense reimbursement and credit card receipts submission

Prepare correspondence with the Thiel Advisory Council and Thiel Roundtable, and CGLI

Serve as administrative support for the Community Impact Committee and CGLI. This includes preparing packets, scheduling, meeting prep, minutes, etc.

Maintain positive and professional relationships with Community Foundation teammates and community initiative partners

Provide administrative and logistical support to the Community Impact Team by:

o Scheduling meetings

o Preparing materials

o Sending appropriate reminders and confirming attendance

o Preparing accurate and complete minutes for meetings

Perform office functions including, but not limited to:

o Answering phones

o Organize and maintain a filing system, both paper and electronic

o Prepare and proofread documents and correspondences, including generating and producing mail merges and PDF documents

TECHNICAL EXPERTISE/EXPERIENCE AND QUALIFICATIONS

Undergraduate degree preferred

Five years of administrative or operations experience preferred; equivalent educational or work experience acceptable

Advanced mastery of computer skills, including Adobe Acrobat Microsoft Word, Excel, Outlook and PowerPoint

Ability to learn quickly, to respond/react quickly to changing priorities and to be dedicated to completion of required tasks

Ability to initiate and complete tasks with minimum supervision

Excellent oral and written communication skills; ability to communicate at a professional level with team members and vendors

Strong interpersonal skills and demonstrated ability to establish and maintain effective relationships with persons of diverse backgrounds

Skilled at dealing with internal and external partners respectfully, professionally and with diplomacy and tact

Detail-oriented with the ability to manage multiple responsibilities simultaneously in an organized and flexible fashion

Capable of exercising good judgment when it comes to problem solving, setting priorities, and decision making

Aptitude for learning new technologies and utilizing systems that promote efficiency and effectiveness

Effective at project management

Able to work both independently as a self-starter and in a team environment

High degree of accuracy and attention to detail

Ability to word process (Minimum of 50 wpm)

Competent with internet searches, email and Outlook calendar functions
