Processing/Administrative - Fleet Maintenance Administrator (Hooksett)

Purpose: The Maintenance Administrator is responsible for providing administrative and organizational support to the Fleet Maintenance Program and executes the day-to-day tasks needed to fulfill our clients' needs for related products and services.

Key Responsibilities:

Strategic support for the Fleet Products Department (Maintenance Management Programs):

Monitor and create control reports to ensure that internal processes are adhered to

Create and update all process documentation for both administrative and technical operations teams

Host training sessions when processes are updated/ new employees are onboarded

Assist on all projects related to all process efficiencies of the Fleet Maintenance department, including but not limited to user acceptance testing and providing targeted feedback for IT projects

Assist with data integrity projects to ensure all system information is as up to date

Collaborate with customer support and billing departments to support client requests, questions or concerns regarding invoice billing

Ensure that loading of new client history and preferences are entered in a timely, efficient, and accurate mannerGeneral administrative support for the Fleet Products Department (Maintenance Management Programs):

o Reconcile and process maintenance invoices

o Research and gathering of all necessary receipts for credit card reconciliation

o Purchase order closure and transactional billing to our clients

o Process all correcting entries for accurate billing to our clients

o Record keeping, data entry, copying, filing, and scanning of all backup documentation

o Gather and distribute department memos and communications

o Process disputes for unauthorized service; Conduct research required for reserve maintenance settlements

o Process all maintenance transactions for non-leased units including company vehicles and other courtesy requests

o Provide ancillary support for all roadside assistance transactions for payables and billing including the appropriate charges for over the benefit limits

o Process all administrative fees for non-covered items such as glass and rental administration fees

o Communicate with all third-party vendors in relationship building

o Additional projects and duties as assigned by the Fleet Products Management Team

Additional Responsibilities and Tasks:

Other key projects to enhance the operations of our products and delivery of information to our clients including but not limited to:

o Monitoring of manufacturer recalls, identification of possibly affected vehicles and issuance of notifications to the appropriate parties;

o Receipt and record keeping for all other OEM notifications including on-star notices and the like;

o Registration and maintenance of units with centralized billing vendors including the Ford QFC program;

Other products related transactions to support the team of Fleet Services Administrators for non-maintenance products including but not limited to:

o Ordering of telematics units

o Ordering and fulfillment of roadside cards and renewal contracts

o Member of new client setup team, complete additional tasks such as obtaining maintenance history and supporting and communicating all product set up and implementation.

Cross-train other departments such as CST in product related subject matter to effectively respond to or triage client requests

Assist in the testing duties for IT projects

Troubleshoot and resolve any challenges that may occur with products/services in collaboration with the Fleet Products Management Team and the Client Service Team

Communicate with all third-party vendors in relationship building

Additional projects and/or duties as assigned by the Fleet Products Management Team

Experience:

3+ years of prior experience working in the vehicle or fleet leasing/maintenance/repair/sales industry and general familiarity with vehicle maintenance terminology

Excellent organizational skills and strong attention to detail

Accuracy rating of 95% or greater for all transaction processing

Proficient Computer Skills: Tableau, Microsoft Visio, Word, Microsoft Excel, Internet, Outlook

Outstanding customer service abilities and professional phone manner

Ability to prioritize work and multi-task in a dynamic environment

Ability to effectively communicate with a wide range of client contacts from clerical to Executive level, both verbally and in written format

High energy, as well as a pleasant and professional demeanor

Aptitude in decision making and problem-solving

Ability to work as part of a team while accomplishing departmental and company goals

Self-motivated individual able to work independently with little direction

Education: Minimum of Bachelor's Degree required
