A busy commercial real estate investment office in Incline Village is seeking a skilled, flexible, committed assistant. This position offers opportunities for increased responsibility with demonstrated performance. This is a full-time position with benefits (health insurance and annual bonus). Some flexibility as to 25-40 hours per week.

The successful candidate will manage a variety of responsibilities in a small office environment. These will range from marketing to administrative and will include (but are not limited to) the following:

Administrative and organizational (filing/scanning/sorting, etc.) tasks

Creating and assembling marketing and presentation materials such as marketing flyers, loan requests, proposals

Marketing retail locations to prospective tenants, placing advertisements and responding to incoming phone calls from prospective tenants

Researching and finding suitable tenants and finding the correct contact person at those firms

Price out and bid various services and other possible cost saving areas

Making outgoing cold calls to identified prospective tenants

Revise letters of intent, leases and other templates to reflect the negotiated terms for each individual tenant

Perform a quarterly survey of all tenants and draft a report with feedback

Draft and send marketing material as well as legal letters

Research and assist with energy and economic development incentives as well assist tenants with permitting processes

Perform research projects and other projects on an as needed basis

Manage all office systems (computers, phones, printers) to keep the office systems running smoothly, including interacting with technical support and customer service

The successful candidate will have the ability and desire to wear many hats, and must be independently-motivated and extremely organized as this is a very autonomous position. Strong writing and communications skills are essential. Commercial real estate and para-legal work experience are a plus.

Other skills required include knowledge of and skill in using Microsoft Office Suite (Word, Excel, Powerpoint and Outlook). Other software currently being used includes Realnex (Commercial Real Estate CRM), Loopnet, Craiglist, Basecamp, Dropbox. The successful candidate would be expected to master these quickly if not already familiar with them.

25-40 hours per week with flexible consistent schedule possible. This is a small and quiet office.
