Job Title:Â Correspondence and Mailroom Supervisor

Reporting Relationship: Operations Manager

Scope of Supervision: CORE Representatives, Receptionist, Chat, Ecommerce, Mail Management and Customer Care Calls

Work Schedule:

ÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂ Mon-FriÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂ 7:30 4:00

ÂÂÂÂÂÂÂÂÂÂÂÂÂÂÂ SaturdayÂÂÂÂÂÂÂÂÂÂÂÂÂ Rotation required

Flexibility of schedule is required in this position based on business needs.

Summary of duties and responsibilities:

Supervise a team of CORE, CORE Hybrid Representatives in the daily activities associated with but not limited to processing mail, surveys, letters, ecommerce and customer service calls.ÂÂÂÂÂ

Accountable for achieving established goals and objectives for the team

Work Force management and rep daily assignments based of work volumes

Lead and develop the employees in CORE, CORE Hybrid roles

Provide performance feedback routinely and complete or provide input into performance evaluations in a timely manner

Analyze reports and improve procedures and drive performance within the department as needed

Responsible for the successful execution of daily CORE operations to ensure key department metrics are met

Monitor performance and provide timely feedback and coaching as required

Be timely, clear and concise with communications on both good and bad performance or behavior

Conduct mini-team meetings and training sessions on a regular, on-going basis

Develop and communicate motivational and team building activities to maintain moraleÂÂ

Own all aspects of employee scheduling and payroll including various employee schedules and calendars

Research information beyond existing procedures to meet customer needs

Identify areas to improve (service, efficiency, productivity and quality), develop plans and implement. Measure progress and performance of changes, and adjust for future success

Point of contact for staff needing assistance with customer issues, product questions or other related concerns

Be highly visible and available to help when needed

Maintain a high degree of confidentiality pertaining to team member and customer situations

Work with Operations Manager on yearly performance reviews timely

Collaborate with Operations Manager and as needed, participate in disciplinary conversations with employees

Communicate with USPS and certain outside vendors on regular basis

Responsible for the creation and management of specific department contests and incentives following the S.M.A.R.T. philosophy: Specific, Measurable, Achievable, Results-Focused, Time-bound

Complete special projects and miscellaneous assignments as required

Supervisors serve as an example for others and will uphold the culture of HDIS including relationship building with customers as well as general behavior on HDIS premises or at other HDIS sponsored events.

Required Education, Experience or BackgroundÂ

1+ years' experience leading teams, supervising staff

Proficient with MS Office

Outstanding attendance is a must in this position

Prior Supervisory experience in a mail management role, a definite plus

Excellent interpersonal and group communication skills

Basic file management and import/export skills

Able to independently handle complaints in a business setting

Self-Starter that has ability to work well with ever changing priorities or situations

Cooperative and willing to assist others

Able to use printers, a variety of applications, and business machines

Able to apply critical thinking skills

Attention to details and accuracy along with strong organization skills

Good trouble shooting and diagnostic skills

Ability to multitask to manage multiple daily tasks, helpdesk, team communication, projects, etc.

Ability to mediate, resolve conflict and maintain the dignity and respect of the team

Ability to disseminate information in the appropriate manner to different levels of the organization

Ability to work independently and within a team with little supervision

Cooperative and willing to assist others
