The Technology Administrator is responsible for providing independent, non-partisan professional support to the Office of Legislative Information Services (OLIS). This position is occasionally called upon to work on special projects requiring specific knowledge, expertise, and skills. The incumbent often works independently under limited time frames. The duties listed below are not comprehensive, but characteristic of the type and level of work associated with this position. · Assists the Chief Information Officer and OLIS Management with administrative duties. · Assists with preparing and organizing meeting materials for OLIS-involved meetings. · Performs purchasing and procurement activities related to information technology items. Participates in needs assessment and research and works with the Chief Information Officer to identify availability of funding and special appropriations. Monitors progress of purchase orders and helps manage vendor relations. o Develops purchase orders and prepares requisitions. o Tracks purchasing process from ordering through receipt. o Reconciles purchases to invoices. o Works with Legislative Financial office to ensure vendor payment. o Reviews invoices for proper authorization, calculations, nonduplication, and validity. · Digitizes and files hard copy materials for hardware, software, or maintenance support purchases including warranty information. · Maintains the Branch’s network hardware, software, and audio video equipment asset inventory system by entering each item into a database with accurate identification and location information. Works with Legislative Financial office on SABHRS entries for capital asset and depreciation purposes. · Monitors maintenance contracts and works with the Legislative Financial office to process renewals in a timely fashion to ensure no lapse in coverage. · Maintains and tracks Branch phones and phones numbers and maintains agency employee directory. · Provides clerical duties for OLIS meetings; prepares agenda and meeting materials for distribution, develops, and maintains electronic lists, prepares, and posts documents on the Branch website. · Responsible for preparing and updating the OLIS organizational chart. · Orders and stores office supplies and maintains supply inventories. · Tracks technical training for Branch staff. · Coordinates OLIS travel, prepares itineraries, plans logistics, supports conference/event attendance; makes travel arrangements for staff including vehicle, airline or hotel reservations, ensuring OLIS staff are compliant with travel policies; reviews and validates post-travel documentation. · Administers the GovDelivery email and newsletter subscription service for the Branch. · Transcribes, proos, and edits for grammatical accuracy and understanding. Responsible for other duties and projects as assigned. The Technical Administrator must possess: · Substantial knowledge of the policies, principles and practices of office administration including office support. · Substantial knowledge of the Legislative Branch functions, policies, and procedures. · Substantial knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, and Visio). · Skill in the use of word processing, spreadsheet, website content management, and graphics software · General knowledge of office practices and procedures and the administrative support functions of the office. · General knowledge and experience in using web content management systems. · General knowledge of system hardware/software configurations and typical computer operations. · General knowledge of State purchasing laws, rules, and procedures. · Ability to maintain confidentiality and handle sensitive department information. · Ability to use good communication skills and telephone etiquette. · Ability to respond quickly and efficiently to tasks, complete assignments accurately and in a timely manner, be flexible and adapt to change, and meet deadlines. · Ability to present information clearly and concisely, both orally and in writing · Ability to multitask and to work effectively and efficiently while enduring frequent interruptions. · Ability to listen to, read, and understand information and ideas presented and the ability to communicate ideas so others will understand (both verbal and written). · Ability to adapt rapidly to new situations and effectively solve problems of moderate complexity. · Ability to establish and maintain effective working relationships with co-workers, legislators, legislative employes and the public. · Ability to act professionally, objectively, and impartially in dealing with Branch staff, legislators, and the public. Qualifications Associate degree in a Business, technical, or related field plus five (5) years of relevant work experience or an equivalent amount of education and experience.
