As an HR Coordinator, the responsibilities include supporting the HR Services Team, HR Services Team Leads and the Vice President, HR Services on an as-needed basis.
RESPONSIBILITIES:
HR Services:
Assists in researching client employees questions regarding benefits, policies, leave of absences and any other issues if and when they arise
Supports the HR Services team with a variety of projects and performs general administrative support;
- Put together team meeting agenda
- Monitors HR Questions inbox; drafts answers for the lighter HR questions
- Assists or prepares correspondence
Responsible for the administration of Poster Elite program
Responsible for HR360 account maintenance (adding/deleting users)
Responsible for administering the Learning Management System (LMS)
Assist in reconciliation of I-9 Advantage account
Administrative Assistant to Vice President, HR Services
Training Services:
Work closely with Training & Development, Practice Lead to ensure all client training details are managed and orchestrated in a timely and organized manner
Manage our internal lunch and learn and breakfast and learn programs
Send out web-based technology training to all new hires via New Horizons
Assist with the design and preparation of training materials
Conduct welcome calls for new training clients
Gather feedback from clients after each training session utilizing Survey Monkey
Assist Vice President, HR Services in ensuring timely billing of each phase of training project
Maintain J Drive to ensure updated training PPTs are maintained
Keep Training Calendar up-to-date and ensure trainer and Senior HR Advisors are abreast of all scheduling changes
Ensure training materials are organized and updated through the training database
Prepares training materials and communications for clients (i.e. handouts, manuals, presentations, videos, reference guides, etc.)
Responsible for maintenance of Training360 LMS platform
Other Duties and Responsibilities:
Assist with client questions and maintenance of I-9 Advantage software
Works on special projects around the Company as is needed
Other duties assigned on an as needed basis
Research and drafts e-alerts on current HR topics
Back up to Marketing
Maintain regular and punctual attendance
Assist with answering the main phone line
QUALIFICATIONS:
1-2 years experience in HR preferred but not required.
The verbal communication skills to communicate with a diverse client group
The written communication skills to produce succinct correspondence and reports
Demonstrated ability to take initiative
Experience with Asana highly preferred
Strong computer skills with proficiency in Microsoft Outlook, Word, Excel and PowerPoint and ability to learn new technology quickly and easily
Excellent organizational skills, a keen attention to detail, strong administrative and analytical skills
Reliable with a high degree of confidentiality and integrity
Thrives in a fast-paced environment and can adapt at prioritizing responsibilities and tasks to effectively meet deadlines
Personable, a good listener and can effectively communicate with all staff and client types through both written and verbal means
Works efficiently both independently and as a member of a larger team
Willing and flexible to help with any urgent issues that happen to arise at the firm, even if they are outside the immediate scope of the role
