Provide administrative and managerial assistance to department leaders.Job Relationships:

The Executive Assistant (EA) reports directly to the Program Manager but interacts administratively with the physicians.Must be able to collaborate and effectively communicate with:-Chairs and the Administrative Assistants within the Steward System-Senior Leadership Team-Operations and Frontline Leadership Teams-Managers and EmployeesAuthority:

The Chief/Chair shall delegate authority to the Executive Assistant to screen calls and direct requests to the appropriate individuals. Has the authority to carry out the day-to-day activities involved in the operation of a physician’s office, within the overall boundaries of the Faculty Practice Plan (FPP) policies and procedures, and as designated by the Practice Manager. Responsibilities and Essential Functions:

Performs duties and provides assistance according to FPP policy and procedures, as well as any directives from the Practice Manager and Chief.Provides administrative support to the Chief, Physicians and Department Manager.

Functions as receptionist for visitors and staff, maintaining orderly, courteous, neat office environment.

Answers and screens incoming calls of the Chief.

Maintains organizational calendar for the Chief

Schedules meetings and makes necessary arrangements including room bookings, food service, materials distribution, notification, confirmation, etc.

Completes requisitions, purchase orders and invoices and processes according to Steward standards.

Coordinates logistics for outside conferences and seminars. Process payment.

Coordinates the interview and onboarding processes of Fellowship program.

Ensures confidentiality of all materials generated.

Maintains current files of all essential physician documentation, e.g., TRACO; licensure.
