A start-up biotech in Cambridge is seeking an Office Manager/Executive Assistant to join their team. Be a part of one of Boston's most successful venture capital firms from the ground up of their new portfolio company!

Responsibilities:

Administrative - provide day-to-day administrative support to key members of the Management Team, staff and Key Consultants including travel support, calendar management, expense reporting and processing as well as scheduling Board of Directors, client and other business meetings.

Office Management - proactively identify the needs to build and run daily office activities including equipment, space, materials, processes, communication forums, establishing and maintaining electronic and hard copy filing systems, food services, mail and shipping/receiving. Act as the primary in-house expert on purchasing.

Accounting/Finance - work with our finance team, to support key processes including payroll, accounts payable, purchasing, general ledger, budgeting, etc. if necessary.

Human Resources - work with our HR consultant, assist in recruiting including scheduling interviews, enroll and onboard new employees, administer benefit programs, develop and maintain personnel files ensuring all necessary and relevant paperwork is completed.

Legal - working with contract corporate lawyer, maintain standard templates and central filing for (Company) for all corporate documents including contracts, CDAs, BOD minutes, etc.

Information Systems - oversee the information systems required to operate the office infrastructure to interface seamlessly; monitor and maintain (Company) website.

Reception - act as receptionist to greet visitors and answer the phones for (Company) until a full-time receptionist is hired, then supervise the receptionist.

Qualifications:

At least 10 years office management/high level executive assistant experience ideally in a fast-paced dynamic environment;

Demonstrated flexibility and professional maturity to readily understand priorities and anticipate needs;

Ability to manage conflicting priorities and deliver on the most critical assignments on time and within budget.

Must have a positive attitude, be a consummate team player, show excellent judgment as well as work well independently;

Must be highly proficient in Microsoft office including WORD, Outlook, Excel, PowerPoint along with experience setting up systems and databases;

Must have excellent written and verbal communication skills including attention to detail and ability to effectively multi-task with a willingness to perform a wide range of tasks including working with confidential information.
