Job-Specific Responsibilities

The Senior Grants Manager will be responsible for all pre- and post-award management for a large complex grants portfolio of multi and varied grant mechanisms with a high degree of complexity including but not limited to, federal grants, industry, cross-institutional, and all involving multiple subcontracts.

Grants managers have a responsibility to read, interpret and act on the guidelines that govern federal research as described in the 45 CFR 75.

The Senior Grants Manager will serve as an information resource on complex fiscal policies and procedures. Interpret and administer university guidelines and sponsored research regulations;

provide guidance to faculty and other project leads about university and sponsor policies.

Pre-award responsibilities include proposal and budget preparation (in support of faculty and other project leads); reviews and completes pre-award application requirements and submission.

Reviews options for account set-up and makes recommendations to ORA, in order to appropriately manage new awards in accordance with sponsor requirements.

Interaction with the HMS Office of Research of Administration and Office of Technology Development (OTD) on industry sponsored research agreements as well as OSP to ensure compliance with HMS, University, and sponsor regulations.

Specific post-award duties will include :

Daily monitoring of grants and contracts for Principal Investigator(s) to ensure expenses are paid according to contract and government regulations within budget limit and timelines.

Authorizing payments and approving expenditures including vendor invoices, individual reimbursements, and other accounts payable and receivables up to $25K.

The SGM will oversee billing of subcontracts.

Maintaining accounting records coordination of timely effort reporting.

Submission of timely payroll changes for faculty and staff.

Monthly budget and expenditure project reconciliation, interpreting and applying financial and compliance-related policies.

Preparing financial projections by reviewing current financial status, forecasting future financial scenarios and suggesting alternative spending plans.

Notifies PI's about any funding shortfalls and plan for contingencies.

Additional post-award responsibilities will include :

Maintaining close subrecipient oversight, ongoing monitoring of special terms and conditions.

Preparing financial updates / reports (including ad hoc reports) for Principal Investigators, sponsors, and Office for Research Operations and Global Programs and data analysis to present for use in planning and decision-making.

Performing special projects and other duties as assigned.

Basic Qualifications

Minimum 4 years of work experience managing a range of award types in a research environment, with both pre-award and post-award experience.

Additional Qualifications

Bachelor’s or Associate’s degree in accounting or equivalent experience. 5 + years directly related experience in managing grants and contracts.

Financial and grant management experience in an academic / research environment, preferably at Harvard.

Analytical thinking resourceful problem-solving skills required.

Service orientation and motivated self-starter.

Ability to work in both a team and independently with minimal supervision.

Ability to handle complex and confidential information with discretion.

Excellent communication skills and the ability to work among a team and among many faculty members. Must have demonstrated experience with NIH policies and sponsored research regulations.

Advanced Excel skills and experience using financial data management tools.

Attention to detail and commitment to following through the details on assignments.

This is a three-year term appointment with the possibility of renewal contingent on funding.
