Job Descriptions:New England Cancer Specialists (NECS) is currently seeking a part time, Wednesday-Friday, Medical Secretary/Scheduler, internally known as an Intake Coordinator, to support our New Patient Intake Team. The Intake Coordinator is responsible for all new patient referrals which includes scheduling and pre-registering new patient consults, obtaining necessary records, answers multi-line phone, triages calls, resolves issues and answers questions, redirects callers if necessary, takes detailed messages and/or forwards calls to appropriate persons. Manages and resolves appointment conflicts proactively. Maintain confidentiality, meet deadlines, and is able to problem solve. They will demonstrate superior customer service skills and the ability to be an effective team player. NECS is a private medical practice composed of 15 oncologists and hematologists serving the state and region from 4 different locations in Maine. Creating new patient account in appropriate systems.

Schedules appointments for patients by phone and completing pre-registration questionnaire.

Schedules referrals within required time frames.

Uses manual/computerized system to match physician/clinician availability with patient’s preferences in terms of date and time.

Maintains thorough record collection and completes chart prep in a timely manner in preparation for consult.

Successfully maintain a pleasant, professional demeanor under stressful conditions working with a wide range of patient personalities.

Uses professional judgment in disclosing information obtained from clients and operates under HIPAA guidelines.

Follows established departmental policies, procedures, and objectives, as well as safety, environmental, and infection control standards.

Other duties as assigned.

Travel: This position is based in Scarborough and may need to periodically travel to our locations in Kennebunk and/or Topsham. Required Experience:

High school diploma or GED required.

Minimum one year prior clerical and/or Medical Secretary experience in a health care field, oncology experience preferred.

Knowledge and application of medical terminology required.

Previous experience with electronic medical record (EMR) systems required.

Exceptional customer service experience required.
