ADMINISTRATIVE ASSISTANT IIIReports To:Plant ManagerDepartment:AdministrationStatus:HourlySummaryTo support the Plant and Office Managers and facility by performing a number of general office duties. Answer phones, employee and customer questions, data entry, answer general benefit and human resource questions. File and operate standard office equipment.Duties and ResponsibilitiesThe essential duties and responsibilities are listed below. Other duties may be assigned.§ Match invoices to purchase orders and receivers.§ Maintains, creates and updates spreadsheets/Car Status reports for tracking various information as directed by Plant Manager and Controller.§ Receive inventory receipts and production into SysPro§ Assists in distributing various human resources information, policies and procedures to all employees at the facility.§ Coordinate with management for recruiting, hiring, training and orientation of new hires through ADP system.§ Coordinate with management for termination of employments through ADP system.§ Keep up to date on employee benefit information. Answer questions and/or direct employees to the appropriate resources.§ Keeps employee records up-to-date and filed appropriately in timely fashion.§ Maintain personnel and other filing systems on a regular basis§ Totals and audits weekly time in ADP and prepares for payroll processing+.§ Assists in processing accounts payable and receivable when needed.§ Cross-train in purchasing and provide back-up when necessary.§ Order office supplies§ Performs other related duties and projects as required and assigned.Knowledge & SkillsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The individual will possess the following knowledge, characteristics, skills and/or abilities:§ Proficiency at an Intermediate level in a variety of computer software applications; Excel, Microsoft Word and Outlook.§ Good interpersonal skills.§ Ability to maintain appropriate levels of confidentiality.§ Knowledge of office administration procedures.§ Ability to operate most standard office equipment.§ Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.§ Good to excellent spelling, grammar and written communication skills.§ General knowledge of accounting and payroll functions.§ Excellent telephone and oral communication skills.§ Extremely detail oriented with excellent organization skills§ Ability to manage a variety of tasks at the same timeEducation and ExperienceØ A High School Diploma or GED required.Ø Two to three years of general experience in an office environment.Ø Work in a manufacturing environment is helpful.Ø Previous ADP experience is helpful.Working ConditionsEnvironment:With the exception of clerical, administrative, and some management positions, which require indoor work, the physical environment requires the employee to work both inside and outside in heat/cold, wet/humid, dry/arid and dusty conditions.
