P/T Administrative Assistant
Duties of part-time office assistant (but not limited to!)
Does all filing
Answers phone calls and handles walk-in inquiries
Assists residents when Manager is busy
Orders/purchases all office supplies
Figures financial info from new/prospective tenants
Supplies move-in packets for new residents
Assists in making phone calls for filling vacant units
Gives building tours
Puts together all brochures, move-in packets, etc.
Organizes and endorses monthly rental checks and enters into system.
Calls residents who haven’t paid
Sends out paperwork for cycle painting offerings
Updates master resident list for use by office, maintenance staff, social worker and mail carrier
Plans, schedules and/or organizes social activities including entertainment for monthly b-day parties, speakers,
school groups, etc. Purchases paper goods, food, decorations, etc.
Distributes miscellaneous notices to residents
Develops forms for various projects
Does special projects as necessary to assist Manager
Covers office for manager time-off when necessary
Collects data and inputs into computer, criminal background info for live-in caregivers and provides residents
and caregivers with paperwork to authorize
Qualifications & Requirements
□ Management Experience
□ Must have current knowledge of Excel, Microsoft Office
□ Must have excellent communication, organizational & customer service skills
□ Must possess a strong, take charge personality with the ability to handle multiple priorities & meet deadlines
