Snowflake Air is a locally owned and operated heating and cooling company focused on the residential market. We are building our company on providing high quality services and excellent customer satisfaction and we know that each employee makes a large impact on our success. We are looking for a motivated office manager/dispatcher who wants to grow with our small but expanding company. Pay: DOE ($14-$20/hr)

Schedule: Monday “ Friday, 8:00am “ 5:00pm

What Your Day Will Look Like

As the Office Manager/Dispatcher, you are the "go to" person for our HVAC company. A lot of information flows through our office and you have your hand in almost every aspect of our business. We rely on the information that you enter and the schedule you create to be accurate and correct. You spend much of your time on the phone and at the computer speaking with customers, organizing technician schedules, ordering material and much more. You are the gatekeeper of details! No figure, no matter how small, gets by you without being checked, double checked, and recorded in the right place. Employees and customers alike depend on you for accurate information!

As the Office Manager, you also manage the office as a whole, using your amazing organizational skills to keep everything running smoothly and efficiently. You keep files in order, streamline operations, and keep on top of updating and maintaining our equipment. You keep our paperless office setup going. You enjoy keeping busy with a variety of tasks throughout the day and get great satisfaction out of ensuring that the administrative side of HVAC work is taken care of accurately and on-schedule!

Essential Responsibilities “ Dispatcher

— Professional phone presence with the ability to handle a high call volume

— Positive, upbeat personality with focus on customer satisfaction

— Excellent communication and organization skills

— Input customer information into scheduling software

— Arrange schedule for field work for multiple technicians

— Communicate with technicians to ensure theyre on schedule and rearrange as needed

— Submit invoices to customers

— Verifies timekeeping each pay period for technicians

— Contact customers to confirm or make appointments

— Maintain all personnel files to ensure their completion according to company policies.

— Assist in the hiring process by ensuring pre-employment requirements are completed and maintain a database to ensure employees credentials are current

— Place orders for equipment and parts with multiple suppliers

— Keep the office running smoothly by maintaining office supply inventory, maintaining files, etc.

— Responsible for various filing, inputting, editing, retrieving, copying and transmitting of information

— Participate in the 24-hour on-call rotation for scheduling emergencies

— Complete other duties and projects as assigned

Qualifications:

— High school diploma

— Previous office management, receptionist, and/or scheduling experience strongly preferred

— Team player with a GREAT attitude

— Highly detail-oriented, organized and efficient

— Ability to multi-task in a fast-paced environment and work independently with little supervision

— Excellent communication skills “ both verbal and written

— Valid Idaho driver's license

— Ability to pass a drug and background check
