Description

To provide seasonal clerical and administrative support to the HR Manager and HR Assistant in day-to-day functions in recruitment, onboarding, time punches and team member relations.

Requirements

Essential Functions

Recruitment/New Hire Process

Participating in recruitment efforts

Collecting and organizing resumes and job applications

Scheduling job interviews and assisting in interview process

Collecting employment and tax information

Ensuring all new hire paperwork is completed

Preparing new team member files

Orienting new team members to the organization

Assisting with team member questions

Time Keeping for Seasonal Team

Ensuring seasonal team’s time is tracked in Paylocity

Answering payroll questions

Facilitating resolutions to any payroll errors

Records Maintenance

Creating seasonal HR files and databases

Updating and maintaining employment status, and similar records

Maintaining seasonal team records related to grievances, disciplinary actions

Performing seasonal file audits to ensure that all required team member documentation is collected and maintained.

Completing termination paperwork and assisting with seasonal exit interviews

Day to Day Activities

Answering team member questions

Copying and distributing documents

Providing customer service to team members

Maintaining seasonal HR files by updating and entering data

Setting appointments and arranging meetings

Maintaining call-In line information and communicating to department leads attendance information

Other

Must be able to work 20 hours per week (8 am -12 pm, M-F)

Must be able to work up to 60 hours per week the months of November, December and January.

Qualifications, Education & Experience

Bilingual in English/Creole REQUIRED

High school diploma or GED required

Experience in a human resources department or office/administrative setting a plus

Experience in MS Office, Excel, Word, PowerPoint, Publisher

Payroll systems experience preferred

Individual must be able to demonstrate a number of competencies that are essential to the position, which include:

Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner

Must possess strong interpersonal skills

Must be able to communicate clearly, both written and orally, as to communicate with Team Members, members of the HR team, and in group presentations and meetings

Must be able to effectively read and interpret information to the seasonal team members

Must be able to prioritize and plan work activities as to use time efficiently

Must be organized, accurate, thorough, and able to monitor work for quality

Physical Demands and Work Environment

Must be able to climb stairs, stand for extended periods of time and safely lift up to 25 lbs.

Must be able to wear personal protective equipment (PPE) for extended periods of time

Must be able to show proficiency in the operation of all necessary equipment

Must be able to sit or stand for up to 12 hours a day

Must be able to pull up to 25 lbs.
