Communicates effectively in oral and written form.

Courteously answers the phone and directs all calls appropriately.

Processes all main and distributes appropriately.

Provides clerical/administrative support, relaying messages, arranging appointments and filing.

Creates documents, prepares correspondence, produces copies and performs general clerical duties.

Sorts and prepares documents for management approval and signature.

Maintains and coordinates inter-facility schedule including hospital meetings, departmental meetings, and calendar for conference room.

Completes minutes and meeting agenda.

Places data in appropriate spreadsheets/forms for analysis and presentation purposes.

Maintains office supplies and medical supplies as needed.

QualificationsWhat You Will Need:KNOWLEDGE AND SKILLS REQUIRED:

Must be able to properly and efficiently utilize the computer, printer, fax with speed dial features, copier machines, telephone system with voicemail, speed dial feathers and conference capabilities, pager system with voicemail features, Nextel phones with walkie talkie features and other office equipment.

Must be able to work with the following computer programs efficiently and possess the necessary foundation for each programs functions and capabilities: Microsoft Office, Microsoft Word for Windows, Power Point, Excel, Outlook and Access. Have understanding how to utilize the internet for research finding or as directed.

Must be able to work without direct supervision. Demonstrate the ability to interact with a wide variety of people including physicians.

Must be able to set priorities, flexibility in work patterns, show discretion and have a good understanding of patients and family needs.

Maintain confidentiality, effective sound judgement, decision making skills and cost effective decisions.

Must be able to prioritize and complete tasks and projects in a timely and efficient manner.

EDUCATION AND EXPERIENCE REQUIRED:

A High School diploma or equivalent is required.

1-2 years secretarial experience required

An Associates level degree (A.A. or A.S.) preferred.

One year healthcare experience preferred.

LICENSURE, CERTIFICATION OR REGISTRATION PREFERRED:

BLS certification desired.

Job Summary:This position provides administrative support and general secretarial services such as arranging meetings, preparing correspondence in final form, receiving visitors, maintain files and performing other duties related to maintaining the department and Director’s schedule. Conducts special projects as assigned.
