Fencing Manufacturer & Distribution Company is currently searching for a Branch Administrator reporting to the Branch Manager, at our San Jose, CA office.

Job Duties and Responsibilities:

Is responsible to the branch manager on the local level with a strong working relationship to the corporate credit manager and related corporate staff.

The ability to maintain a positive working relationship with all branch personnel.

Bills daily and prepares billing invoice generation to be mailed to respective customers.

Collection of delivered shipping documents and subsequent billing

Process Back-order shippers are then delivered back to the yard staff.

Collections for the local branch, must have an understanding of accounts receivable and its aging.

Identify delinquent accounts and insufficient payments as well as notification to the customers

Preparation of financial reports by collecting, analyzing and summarizing account information and trends

Posting payments to customer accounts once money is receiving by cash payments via cash, checks and credit cards. This is done daily with copies of same sent to corporate.

Verifies accounts by reconciling statements and transactions

Resolves account discrepancies by investigating documentation; issuing stop payments, payments, or adjustments.

Prepares month end statements for each customer.

Receives invoices from vendors while checking them for accuracy against purchase orders and receipts then send them to the appropriate manager for signoff approvals

Forwards the approved for payment invoices on to corporate for payment

Is responsible for the petty cash within the branch and its reconciliation. Postage meter, as well.

Maintains financial historical records by filing accounting documents according to GAAP and state requirements.

Contributes to the team effort by accomplishing related results as needed.

Lien law knowledge in California

Education / Skills Required

Minimum high school diploma, 2yr or more college degree preferred.

Minimum 4-6 years A/P and A/R experience.

MAS 200 proficiency preferred. 10 key by touch.

Proficiency in Microsoft Word and Excel required.

Confidentiality and professionalism required.

Strong mathematical aptitude

Detail oriented, self-motivated.
