This dynamic opportunity will have its primary obligation to the finance department from fall through spring and during the summer will transition to a Lead in the ticketing department.This position is primarily responsible for providing administrative assistance to the Alaska SeaLife Center finance department. During the summer, this position will shift to assisting the Development .and.amp; Guest Services Manager with the supervision of the Sales Representatives; and related duties to include staff scheduling, reservations, and ticketing of all admission and tours. Education/Training Requirements:Minimum of two years experience in a similar position or Associate s degree in a related field. Excellent typing and basic computer navigation necessaryand.nbsp; Preference to someone with basic Microsoft office skills with Excel and Outlook. Experience in a retail or front-line sales position with the operation of computerized POS and/or reservation system and customer service a plus.Essential Duties Finance (September through April):Organizes and maintains central filesand.nbsp; Updates expired documentation as required for specific awards.Reviews submitted invoices to ensure proper coding. When required, drafts, submits and monitors payment of invoices. Reviews and approves subawardee invoices, tracks invoices in Access, and contacts subawardees when invoices are incomplete or late.Continually monitors activity to ensure compliance with funder policies and requirements. Uses interpersonal skills to coordinate projects requiring interactions with many internal parties. Uses analysis, critical thinking, and problem-solving skills to analyze data and develop meaningful solutions to specific problems. Uses organizational skills to manage competing priorities. Uses independent judgment to make logical decisions.Essential Duties Ticketing Lead (May through August, exact transition dates subject to change): Maintains the highest level of customer service at the Ticketing/Sales Counter. Greets and assists customers in the purchase of admission, tours, encounters, and ensures capture of visitor contact information, and annual Visitor Survey completion. Adheres to the Ticketing and Reservations Manual, and ensures Sales Representatives have trained accordingly.Opens and closes the sales counter - supervises seasonal staff that open and close these areas. Ensures all stations are cashed-out and balanced in a timely manner.Assists Development .and.amp; Guest Services Manager with oversight of Sales Representatives, ensuring the highest level of customer service and achievement of sales initiatives. Assigns and checks work, creates and establishes schedules, sets deadlines, and delegates authority. Works with the Development .and.amp; Guest Services Manager to establish performance standards and make personnel related recommendationsMakes appropriate decisions regarding admission policies in the absence of the supervisor. Maintains visitor correspondence and reservation requests via phone and email. Works with other businesses, preparing group reservations and being available to answer questions.Arranges displays and ensures that counters are well stocked with appropriate inventory.Assists with maintaining sales records and preparing routine daily reports.Maintains a clean, neat personal appearance including clean uniform.
