Maritime Helicopters is seeking candidates to apply for the position of Contracts Administrator. This position will report directly to the President and/or the Director of Operations. As an essential member of the administrative team, we are seeking individuals who have strong organizational and communication skills and are comfortable working under periodic deadline situations. The Contracts Administrator will be responsible for all contract compliance relating to the business. This includes professional service contracts with our clients, facilities and aircraft lease contracts, administrative contracts and permitting compliance. The Contract Administrator will also assist management in the tracking of market opportunities as well as assist in the preparation of bids.

Essential job functions also include the following:

Maintain current and accurate files for all contracts and bids for the company.

Maintain an Excel file of all existing contracts to include client name, date bid and renewal date. Provide management with advance notice of upcoming renewals for planning purposes.

Monitor web sites for new business. Notify management of upcoming opportunities.

Accurately and professionally assemble all bids. This includes proof reading all documents for content, spelling, presentation and costing.

Coordinate with Operations and Accounting Manager to produce Project Timelines for bids which ensure that all documentation is completed with adequate time remaining for final reviews and revisions.

Assist with annual business insurance renewals, license and permit applications, and report filings.

Professionally represent the company to existing and future clients.

Other duties as assigned.

Additional skills or hiring requirements:

Minimum 2 years’ experience with similar duties

Proficient with Microsoft Excel/Word

Strong analytical and problem solving skills with attention to detail

Strong creative writing skills with attention to detail
