DESCRIPTION

Anchorage Real Estate office is seeking a professional executive assistant. Candidate should not only be able to work independently, but also thrive in a team environment with a team-player attitude. Looking for a candidate who is effective at multi-tasking in a fast-paced and professional work environment. Position will perform a variety of administrative, marketing & related duties and will report directly to the Broker and Office Manager.

RESPONSIBILITIES

- Manage full and ever-changing calendar for Broker and ongoing projects

- Assist broker with document preparation to include: letters, leasing agreements, contracts, deal folders, spreadsheets and other documents

- Update and regularly maintain transaction database, paperwork files, including filing and retrieval of contracts, leasing agreements and other documents

- Responsible for filing and storing transaction documents

- Responsible for filing and storing contractor folders, scanning, updating and maintenance

- Compose/type general & confidential correspondence and proposals

- Take charge of additional responsibilities as needed: including marketing, sales mailings, operations, transportation, billing and research

- Handle incoming calls/voicemail, scheduling meetings, small marketing projects and other administrative tasks for upper management

- Distribution of mail to broker, managers and agents

- Provide administrative support to company property management and tenants on maintenance issues; handle tenant inquiries, emails, telephone calls and correspondence

- Develop positive relationships with tenants, vendors, etc.

- Assist with personnel hiring process and key management

- Website oversight

- Miscellaneous duties as directed

QUALIFICATIONS

- Excellent project management & organizational skills are essential (manage & prioritize multiple projects)

- Superior knowledge in Microsoft Word, Excel, PowerPoint and Outlook; knowledge of Appfolio real estate software is a plus

- Handle confidential, time-sensitive information with discretion and excellent judgment

- Open & receptive to new technologies social media, recruitment marketing, etc.

- Possess complete attention to detail and high level of initiative and strong follow through

- Exemplify excellent written & verbal communication skills

- Excellent content writing skills and ability to post press releases - blog - Facebook etc.

- Autonomy and resourcefulness to anticipate team needs and complete projects independently - provide solutions to problems

- Work successfully under deadlines; interact effectively with all levels of the organization

- Willingness to take full ownership of responsibilities

- Strong character and ethical values a must

- Familiarity with basic real estate concepts

Must have valid Driver's license
