The primary responsibility is to support needs in such a way they are receiving an unrivaled level of service. Responsibilities include assisting with projects as assigned. Additionally, this position will be ensuring the office is tidy, professional. Other responsibilities include sorting mail/email, answering phone calls, managing office supplies and logging receipts, and entering information into our database. Keeping our business moving forward with our foot on the gas pedal with upcoming listings and closing transactions is paramount. Computer skills and proficiency in Microsoft Office is a must.Â
Operations:
Track and manage company budget and projections with CEO
Create and Manage all business tracking systems
Manage Database and create client touch systems
Manage Social media campaigns
Manage and track agent productivity
Hire and Train team members
Listing Coordination:
Manage all listing marketing coordination to include print, mail, social media
Prepare and ensure all Listing presentation and contract documents
Scheduling appointments as needed for contractors bids, stagers, cleaners and photography
Manage MLS listing
Interface with buyer agents and sellers to coordinate showings
Administrative Duties:
Database input
Create flyers and social media posts
Manage client care program and procedures
Preparation for client appointments conference room reservation
Office Inventory management
Create and update cost spread sheets
Execution and assist in planning in of all team events reservations and preparation tasks as needed.
Transaction Coordination:
Oversee and manage Real Estate contracts through closing
Coordinate with other offices, agents, title, buyer/seller to make sure all documents are signed, reviewed and delivered on time.
Able to work with databases, transaction management systems, input all data accurately and in a timely manner.
Review/audit files weekly
Monitor timelines, contingency removal dates.
Coordinate inspection report and Request for Repair
Coordinate repairs and other required inspections for sellers
Responsible of submission of legal and documents and financials to broker
