The primary duties of the Payroll Specialists are to provide back office and administrative support. Duties can include tasks such as reconciling of data, processing, and completing financial transactions like internal credit card expenditures, vendor payments, and customer refunds, preparing and processing company-wide payroll, running customer billing statements, auditing customer billing information to ensure accuracy, processing of customer payments and collecting on delinquent customer accounts. These duties are performed in diverse departments such as Payroll, Accounts Payable, Treasury, Collections, Customer Billing, Sales, Facilities, and Operations.

PAYROLL

May perform some duties of BSS I's and generalized BSS II duties.

Audit online timesheets to verify accurate time entry, ensure that all online timesheets are properly approved, and follow up with emails and phone calls to ensure they meet submission deadlines.

Ensure accurate preparation and balancing of bi-weekly payrolls to include payroll adjustments, garnishments, bonuses, changes in voluntary deductions, and leave liability. Work with third party payroll vendor to ensure accurate and timely payroll processing and on time payroll delivery.

Responsible for accurate reconciliation and payment of all payroll related deductions, garnishments, and payroll liabilities. Ensure accurate and timely third party payroll vendor payments.

Responsible for timely and accurate distribution of all payroll checks and direct deposit vouchers.

Ensure compliance with Company policies and procedures and the Union contract as they relate to payroll matters. Notify Supervisor of issues or concerns.

Process various payroll adjustments (e.g., shortages, garnishments, bonuses, and changes in voluntary deductions.)

Calculate manual payroll checks with complex benefits and accurate tax withholding.

Prepare payroll related analysis and reports as requested by Human Resources, Accounting, and management.

Maintain employee payroll files and tax documents.

Respond to internal customer inquiries and requests.

Work with IT and HRIS to ensure proper set up of employees in both the payroll and time and attendance systems. Assist HRIS and management with data entry and processing test payrolls for new systems, compensation codes, and benefit changes.

Participate as a contributing team member to the Finance Department and support overall mission and direction of the Company.

Assist training new BSS III's per Supervisor instructions.

Perform other duties as assigned.

Minimum Qualifications

High school diploma or equivalent; minimum of two (2) years of proven experience in the functional area you will be working in (e.g. Billing/Collections, Payroll) and two (2) years customer service experience. Collections BSS must have one (1) year experience in basic accounting practices, record keeping, and utilization of analytical skills, with substantial knowledge of software programs, e.g. complex spreadsheet knowledge for reporting, word processing and data base applications. Proficient with Microsoft Word, Excel, and Outlook. Knowledge of Alaska state tax laws preferred.

BSS II and above are required to pass a typing test with a net score of 45 words per minute. Tests completed within the past 12 months from the date of application will be accepted. Internal applicants serving as BSS II's and above are expected to have proven keyboarding and are not required to provide test results.

Additional Job Requirements

BSS IV Must have a working knowledge of the Fair Debt Collection Act.
