Purchasing Agent will negotiate with vendors for the purchase of all food and beverage materials, supplies, equipment and services used by The Country Club of Mobile. safe operating standards in accordance with established The Country Club of Mobile and departmental policies and procedures.

SUMMARY OF ESSENTIAL FUNCTIONS:

1. Develops with department heads order guides in excel for their departments to include par levels, brand or quality standards. Develops methods of communicating orders: verbal, written, email, text. Develops requisition sheets for staff to come to the storeroom to secure goods and ledgers names, dates, and amounts received. Also weekly excel reconciling of what is sold to what is requisitioned to develop stronger internal control.

2. Presents to the Chef and Assistant General Manager recommendations at to what the sales price is to be in accordance what is purchased and in recognition of budget. Constantly reviews menus and sales and recommends updates.

3. Negotiates with vendors for good and services, negotiating the best possible price and service guarantee. Develops new supply sources where vendors are inadequate. Will never accept a rebate, kickback, free goods or services from any purveyor and will report any activity to any other employee to the general manager.

4. Ensures Budget rules are followed.

5. Receives supplies, stocks, beverages and stores purchased goods properly either in the storeroom, wine room and/or bars.

6. Delivers packages to appropriate departments.

7. Opens kitchen packaged goods to inspect condition of contents.

8. Checks goods against and assures that quality requirements in purchase specifications are met before accepting delivery.

9. Performs inventory counts, product pricing (FIFO) and keeps records of food and beverages and extends inventory in an excel document. Inventories must be accomplished by the end of month or not later than the first day of the month following. Verifies the satellite storeroom inventories in the drink shed, drink cart the snack bar and golf coolers at month end. Also gives each outlet a cost of goods sold number based on beginning inventory, requisitions, ending inventory and comparing that with sales.

10. Keeps walk-in, freezer and storeroom areas organized, clean and in proper repair and condition.

11. Rotates stock.

12. Assures that all storage areas are locked according to club policies.

13. Dates, marks cost information on and properly places all incoming products into proper storage locations.

14. Maintains receiving and storeroom equipment in proper condition.

15. Participates in departmental and club training meetings.

16. Completes other appropriate assignments.

17. Perform daily checks of coolers and freezers to assure temperatures are within HAACP limits below forty degrees. (Meat 32-34 Produce 36-38 Freezer 20-28)

18. Maintain an up to date file of MSDS on all chemicals in storeroom.

19. Track the fill level of the automatic dumpster and call for service as required. Must be 100% full

before calling for pick-up.

20. Sweep and mop the back hallway as needed.

21. Receive both new and used uniforms and issue/record to staff.

22. Return coat hangers to the laundry as needed.

23. Take on responsibility for ordering of disposable paper products and chemicals, in conjunction with all departments.

24. Regular and prompt attendance.

25. Additional duties as assigned.

QUALIFICATIONS:

Minimum one-year experience in purchasing.

College graduate preferred but alternately high school diploma or equivalent with some college courses in Business Administration.

Must have a valid Alabama drivers license with a clean driving record in order to drive the Clubs van to pick up items in and around Mobile.

Negotiating skills

Proficient with MS Office: Word, Excel.

Work independently while understanding the necessity for communicating professionally and coordinating work efforts with other employees and organization.

Organizational skills for efficient office control are mandatory.

Excellent verbal and written communication skills.

Must be available for emergency and scheduled work requirements on evenings, weekends or holidays.

Must be available to work flexible shifts and overtime if necessary.

Must be able to lift up to 50 lbs.

Must be able to push and pull up to 50 lbs.

Requires long periods of time standing, frequent bending, crouching, kneeling and reaching.
