Education: High School Diploma or equivalent is required. Bachelor's degree in a related field is preferred.Certification: No certification is required.Experience: This position requires up to 3 years related qork experience with legal administration. Contracts experience is highly preferred.Job Summary: Generally responsible for acting as the initial point of contact for questions referred to the Compliance Department and assisting in any work related to the Compliance Department. Responsibilities also include initiating, tracking, and assembling of contract documents, license applications and renewals, state registration and annual reports, board resolutions. Although this position does not provide legal advice, they will assist the General Counsel with contract and corporate matters. This position is specifically responsible for initiating contracts through the approval process, tracking their flow and seeing them through to completion and archiving, using either Hargrove contract templates or client contract documents as required. This work will be performed under direct supervision.Primary responsibilities will include but are not limited to:

Track and process contracts and agreements from proposal through execution, distribution and life cycle.

Assist General Counsel by drafting letters and forms and obtaining backup documentation and information.

Gather and organize information for contracts, leases and other matters as assigned by the General Counsel. This may include researching and organizing documents, analyzing data and preparing contract chronologies and narratives, including scope.

Review all purchase orders and update compliance tracking systems.

Facilitate various agreements and purchase orders for officer signature.

Coordinate and participate in special legal projects.

Prepare and maintain business registrations, certificates of authorization, license applications, license renewals, maintain license database.

Input contract information into database for record and for reference by teammates.

Provide instruction to Teammates related to navigation of the contract management system.

Assist in determining correct contract flow downs for subcontracts when applicable.

Assist in managing and maintaining template libraries.

Provide Certificates of Insurance when required for proposals and other opportunities.

Transcribe, dictate, type, make photocopies, and organize

Draft various meeting minutes for distribution.

Prepare mailings for Compliance Team.

Maintain calendar for General Counsel/Compliance Team including setting up meetings, conference rooms, travel etc.

Create and complete expense reports.

Complete paperwork for state registration, file annual reports, maintain annual report chart.

Interface with the client in a professional and diplomatic way to maintain and facilitate business activities.

Knowledge of legal processes, systems and rules.

Knowledge of legal concepts relevant to the engineering/construction industry or to an in-house corporate legal practice.

Proficient computer skills including Microsoft Word, Excel, Outlook, Adobe Acrobat and other software as needed.

Detail oriented in reviewing requests and documentation for accuracy and completeness.

Excellent communication skills, both verbal and written.

Excellent organizational skills.

Ability to listen and ascertain the needs of Teammates.

Ability to work and multi-task in a fast-paced environment.

Ability to maintain effective working relationships with Teammates.

Ability to be discreet in dealing with sensitive information and maintaining confidentiality in all areas.
