The ideal applicant for this position should have Administrative Assistant experience along with some billing experience and excellent customer service skills; QuickBooks experience a PLUS. We are a fast-paced office; therefore, multi-tasking ability is a must. Applicant must be able to adapt to all situations as the job requires for the good of the company, and have respect for authority figures as the applicant chosen for the position will be the assistant to the company president. Must have the ability to follow instructions. The company is looking for honest, loyal applicants, who can demonstrate a sense of pride in their work who possess great work ethics.

Job Duties, but not limited to:

Assistant to the President of the company.

Fielding calls from customers, filling out paperwork for servicing or writing sales orders.

Transfer sales orders to estimates for customers. Create orders to vendors with purchase orders. Match vendor invoices to estimates, and bill to customer. Must pay attention to detail.

Assist in keeping track of receivable balances. Making sure there are no past due balances on customer account when receiving requests for parts ordering or servicing.

Keep track of service calls, print out for meetings. Bill customer for service calls when service has been performed.

Filing of customer invoices.

Work closely with the GM concerning service calls

Work closely with vendors, placing equipment orders.

Create equipment quotes using QuoteWerks after learning about the business
