Seeking a highly motivated, outgoing, detail oriented, energetic and determined Bookkeeper/ Office Administrator for our Dothan office. Must be able to work in fast paced working environment. Construction or HVAC accounting experience is preferred. Purpose: Take direction and perform administrative tasks directly from the owner in all Operations and Accounting.

Duties: (Including but not limited to)

Accounts payable and vendor management

A/R billing and collections

Files forms and paperwork as required

Assist in answering phones and over the phone purchase orders

Extensive use of Quickbooks- accounting/management software to process Vendor invoices, Accounts payable & Accounts receivable

Invoicing: Review contract requirements with respect to invoicing procedures

Prepare customer invoices in accordance with contract requirements

Compile required documentation for all new and active jobs; coordinate with owner to set up new customer accounts and coordinate with the owner to set up new vendor accounts

Maintain physical documentations in billing/project files

Prepare and submit check requests

Assist with bids and proposal activities

Request insurance certificates per project requirements

Prepare daily and weekly reports to submit to upper management

Prepare FedEx and UPS packages

Process company vehicle License tag renewal

Maintains and keep front office area orderly

Any other duties as required by upper management

Essential Skills

Hiring and teaching

Good leadership, organization skills and ability to prioritize multiple work assignments.

Ability to give instructions and clearly explain problems or situation.

Must be team orientated.

Skills/Qualifications:

1-3 years of experience in construction or HVAC accounting is preferred.

Accounts Payable and Accounts Receivable experience is required.

Accounting experience (Experience with Quickbooks software).

Exceptional communication skills including verbal, written and telephone.

Proficient in Microsoft Office Programs (Excel, Word, Outlook, Power Point).

Knowledge of Air Condition service is a plus
